How to Manage and O365 Group in Outlook Web App


After you've created a group, you'll want to manage its members and some of the group's settings.

Step-by-step guide

Managing group membership

  1. If you didn't add members to the group when you created it, or if you want to remove someone you added, you can do so easily.
  2. At the far right of your group window, click the down arrow and select Members.



  3. Click Add Members then search for people to add.



  4. To remove an existing member or promote an existing member to group owner, select the member and click the down arrow next to his or her name.



    Adding other group owners

    It's a good idea to promote another user to an owner. Any owner can modify membership so if one owner is out of the office, the other owner can manage the group. Temporary or consultant staff should not be made group owners. If a temp or consultant employ create a group, they should immediately add a full-time employee as another owner.

Managing group settings

You have a few options for managing group-wide settings, as shown below.



  1. You can edit the group name and description.  This will not change the email address associate with the group, only how it appears on To: lines and in the Global Address List.
  2. Change the privacy of the group to make it public, so anyone at PATH can join the group.
  3. Allow people outside of PATH to email the group.  This is OFF by default, so if you may need to turn this on.
  4. Determine whether or not messages sent to the group also go to members' inboxes.  We recommend leaving this off and only turning it on if you need to, because it applies to everyone in the group.  It can't be turned on for individuals.
  5. You can also delete the group if you no longer need it.

Responding to messages

Once you start receiving email, both from internal or external senders you can reply to messages as needed.

  1.  Click Reply all to respond to a message.  Note that your only option is reply all.  You can add additional people to the To: line, but you cannot remove the group.

2.  Click the To: line to see all the message's recipients.

Mail will go to the sender and everyone in the group.
